Databases
Importing Data
Updating Data
The preferred method for capturing and updating bulk data contributed to oneFish is by utilising a facility known as a KO (Knowledge Object) Pool. This facility allows oneFish to display KOs that reside in other resource (provider) systems to be displayed alongside oneFish KOs both in topics and the search results, and for them to be updated automatically at regular intervals.

Databases
From time to time, oneFish is offered existing databases for incorporation
into oneFish. These databases may comprise a variety of data including project
records, bibliographic records, and other types of datasets. These general
guidelines apply to all types of data, and are intended to provide an
indication to the data provider about how their data will be handled by
oneFish and what access they will have. Any data imported into oneFish
remains the property of the data provider.

Importing Data

Anyone
wishing to offer a database for incorporation into oneFish, should
in the first instance contact the Chief Editor (onefish@fao.org).
- The
database provider must give information about the structure, format
and content, and especially about the ownership of the database/data.
- The
source database/data will then be analysed by oneFish staff to decide
its suitability for import into oneFish.
- The acceptance of historic data (pre-1995 documents; pre-1990 projects) will be based upon:
- the perceived value of the data to the oneFish community;
- the quality of the data;
- the amount of effort to be expended in importing it;
- whether the data is available online elsewhere, and
- whether the data provider will subsequently be updating it.
- If
accepted, arrangements will be made for the source data to be exported
in a suitable format for importing into oneFish.
- Every
record in the source database will be globally allocated a primary topic
ctn, which will normally be that of the data owner, e.g.
Int. Inst. Fish. Econ. Trade (IIFET). Display in other topics will be reliant upon individual records/KOs being `collected' by a topic based on matching subject keywords.
- Any
projects with start dates up to and including 31 December 1990 will go directly into the Projects Archive topic.
- Any documents with publication dates up to and including 31 December 1995 will go directly into the Documents Archive topic.
- After
the import has taken place, the data owner will be given access to their
topic so that they can edit and update their data as required.

Updating
Data
- If
the data provider produces a prolific number of records annually, an
arrangement can be made to receive batches of new and updated records
regularly for import into oneFish.
For
existing ongoing projects, it may also be possible to receive batches
of updated records and automatically overwrite and update the original
record. The exact procedures to be discussed and agreed with each data
provider.
- Alternatively,
if the data provider adds only a few new records per annum, then it
is recommended that they appoint a Topic Editor from within their
organisation to add these new records directly into oneFish via the online forms, and to update
their existing records via the online edit forms.
